Organizational session for administrators
Present: Bonnie, Patrice, DaveC, JiM.
Setting: Hospitality Suite overlooking Buzzards Bay
Time: Friday 25 Jan from ~4:30-6:30 after the eMOLT seminar
for the public and a small training session for attending participants
on compiling and entering documentation
Each sssociation reps would either a) collect all hand
written logs and enter the information into a spreadsheet themselves or
b) they would teach their participants to enter the information into a
spreadsheet . Most likely it will be a combination of option a and b since
not all participants are ready for the computer work but representatives
are encourage to conduct their own training session on how to maintain
an eMOLT spreadsheet in order to minimize the amount of work they
will have to do in the longrun. In either case, the spreadsheets
must be formatted in a standardized way. Jim does not want to get spreadsheets
in different formats from each association. The standard form is
documented in the "Complete eMOLT manual for participants". Notice
they will will require certain forms of lat/lon and date, for example.
Web forms are available as an alternative to spreadsheets
and a sheet w/URL was handed out Patrice suggested that these web
form alternatives not be used until the error checking procedures are worked
out completely. I need to work on the interactiveness of these forms
to notify users, for example, when they have entered information in the
wrong range/format/syntax etc.
on scheduling download sessions quarterly?
Each sssociation reps will have downloads 2-4 times/per year and
they would notify JiM of their planned schedule as soon as possible .The
batch of datafiles and a single spreadsheet file will be sent to Jim after
each download session. The participants will send their data to their association
reps and not to Jim.
on web site plans
Jim recognizes that the eMOLT web site is not ideal but is working
on ways to improve it over time.
Patrice has set up the domain name "www.emolt.org" to point to the web
site but still needs to fill out a web form to validate this.
McCarron had seen some security holes in the system but they have since

Patrice described all the difficulties of accounting phase I and will be
providing a brief table summarizing those numbers before the Maine Fish

Late March is the tentative plan to have a one day training session for
all interested participants

compensations for association reps efforts will be discussed at the next
eMOLT admin meeting (probably at the Fish Forum)
on proposal ideas?
we will discuss this at the Fish Forum and have a final draft by March

over the weekend where a few other details were worked out and those details
will be forthcoming....
